What clients ask for versus what they need
Nearly every enquiry arrives already solved. The client has diagnosed themselves and is describing the treatment.
Sometimes they are right. Often they have named the most visible symptom. Four I hear constantly:
"We need a dashboard"
Usually means: I do not trust the numbers I am given, or I have to ask someone for them. The need is confidence, and confidence is often one automated email on a Monday rather than a screen nobody opens.
"We need a CRM"
Usually means: things are falling through and I do not know where. Occasionally that is a CRM. Frequently it is that nobody agreed who owns a lead after the first call, which no software decides for you.
"We need an AI chatbot"
Usually means: we answer the same forty questions constantly. Worth checking who is asking. If it is staff, that is an internal knowledge problem. If it is customers, the answers may belong on your website, in public, where they also earn you search traffic.
"We need to integrate these two systems"
Usually right, and usually smaller than feared. Also worth asking whether you need both systems.
How to ask without being difficult
You cannot open with "you are wrong". Ask what it would let them do. "If the dashboard existed, what is the first thing you would look at?" Half the time they name a single number, and now you both know what you are really building.
